Refund & Cancellation Policy

1. Scope

This policy applies to all paid services offered by Alpha Vulcan FZCO, including:

  • Digital services and SaaS subscriptions
  • Software development and consulting services
  • Design and creative services
  • Custom AI solutions and implementations

2. When Refunds May Be Offered

Refunds may be considered in the following circumstances:

Duplicate Charges

If you were charged multiple times for the same service due to a technical error, we will refund the duplicate charges in full.

Billing Errors

If you were charged an incorrect amount, we will refund the difference or the full amount as appropriate.

Serious Service Failure

If we fail to deliver agreed services and cannot remedy the situation within a reasonable timeframe, a full or partial refund may be offered.

SaaS Subscriptions (Within Trial Period)

If a free trial period is offered and you cancel before it ends, no charges apply. For paid subscriptions cancelled within 7 days of the first charge, a refund may be considered on a case-by-case basis.

3. When Refunds Are Not Generally Offered

Refunds are generally not available for:

  • Consumed Consulting Hours: Time already spent on consulting, analysis, or advisory services
  • Delivered Design Works: Design deliverables (logos, graphics, videos) once approved or delivered
  • Custom Development: Bespoke software or AI solutions after development has commenced
  • Used Subscription Periods: Time already elapsed on active subscriptions
  • Change of Mind: General dissatisfaction after services have been rendered

4. Cancellation Rules

One-Off Projects

  • Projects may be cancelled before work commences with no penalty
  • Once work begins, cancellation terms are as specified in the project agreement
  • Completed deliverables and time spent may not be refundable

Ongoing Subscriptions

  • Monthly subscriptions: Cancel at least 7 days before the next billing date
  • Annual subscriptions: Cancel at least 30 days before renewal
  • Access continues until the end of the current billing period
  • No prorated refunds for partial periods unless otherwise stated

5. How to Request a Refund

To request a refund:

  1. Email us at info@alphavulcan.com with subject line "Refund Request"
  2. Include your name, company (if applicable), and contact details
  3. Provide the invoice or transaction reference number
  4. Explain the reason for your refund request
  5. Include any relevant supporting documentation

6. Review and Decision

We will review all refund requests and respond within 10 business days. Our decision will consider the circumstances, our policies, and any applicable service agreements. We may request additional information to process your request.

7. Refund Method and Timing

  • Approved refunds will be processed to the original payment method
  • Refunds typically appear within 5-10 business days
  • Actual timing depends on your bank or card issuer
  • Bank transfer refunds may take longer (up to 15 business days)
